Scheduler is a powerful feature in Zoho Creator that allows the application owner to create timed actions without any user input. These timed actions can be executed periodically based on the date and time values present in your form or on fixed date and time.


Zoho Creator supports three types of schedules. Form, Report & Custom. For birthdate reminders you need to use Form. Form schedules are events that are scheduled based on a date/time field in your form. (i.e) you will be able to specify a field in the form, whose value will be taken as the scheduling due date (or as start date and end date) in case of schedules with repeats like 'monthly' or 'yearly'.

If you are familiar with Zoho Creator's backend script builder you are aware of the 2 options you have to write your logic. Script Builder and Free flow. The second having the most flexibility for copy & paste code and write logic faster if you are already familiar with deluge scripts.


In Zoho CRM when you attempt to write a custom function the only option available is Script Builder. This option increases your developers time to produce faster and robust code = higher costs and if you are learning how to write these functions it will be a little cumbersome just to navigate through all the multiple screens Zoho has configured for the user = decreasing your chances for success.


Fortunately, there is a way to access the free flow backend screen in Zoho CRM. It does require a little bit of technical maneuvering, but nothing as fancy as Lady Gaga's dresses...so buckle up and take some notes.


1. Open you custom function configuration screen.

2. Edit the Function

3. Right click on the white empty configuration screen and choose "Inspect Element"

4. If you are on a Mac the right click = control click.

5. You will see a new window displaying at the bottom of your screen with your CRM application code.

6.Search (scroll up) for the url referring to https://creator.zoho.com/functions.do?

7. Copy the script on a txt note and extract the url up until the workflowLinkID. https://creator.zoho.com/functions.do?sharedBy=ZS_71423467&workflowLinkID=18474398KDJFSGJDSGKJS

8. Paste the url on a new browser window and bingo.

9. Do not forget to save the scripts you add on this window.

10. Go back to your CRM and test.

In order for this process to properly work we need 3 key components working at the same time.


1. Zoho Creator account synced to your Zoho CRM platform.

2. Enterprise edition on your Zoho CRM plan.

3. And ability to forward emails from your current email hosting provider. i.e. Outlook, Gmail, etc ( most do )


First, you need to determine what information to use as a search field for your Zoho creator script. The Name of the account or the email associated with the account would do the trick, but before you make up your mind these are a few questions to consider in your logic selection.


a. Do you have multiple accounts under the same umbrella name? i.e. Holiday Inn Metro & Holiday Inn Austin, etc or you only have Holiday Inn. If you only have one name for each account then a "Name" match would work just fine.

b. Are the incoming emails for an account coming from 1 email only or multiple user emails? i..e admin@holidayinn.com or james@holidayinn.com & scott@holidayinn.com
