Why Zoho Books

Real accounting. Without the QuickBooks tax.

Zoho Books is full double-entry accounting at a fraction of the price of the incumbents — with native multi-currency, multi-org, and (for our Mexican clients) CFDI 4.0 SAT compliance built in. Here’s why SMBs switch.

Get paid faster

Send invoices in 60 seconds, accept Stripe / PayPal / ACH right from the invoice, and let recurring invoices auto-bill clients on retainer.

Bank feeds + auto-recon

Connect your bank, let transactions flow in nightly, and auto-match against invoices and bills. Reconciliation goes from a Friday afternoon to twenty minutes.

Reports your accountant trusts

P&L, balance sheet, cash flow, A/R aging, sales tax summary — on demand, drilldown-able, exportable. Your CPA gets a proper audit trail, not a CSV graveyard.

Built for Mexico & cross-border

CFDI 4.0 timbrado integration, Spanish UI, multi-currency, and multi-org for groups operating across MX, US, and beyond. We run this in production for several clients.

What's inside

End-to-end finance, not just invoicing.

The features your finance team will actually use, sorted by where they live in the day-to-day.

Custom invoices

Branded templates, multiple languages, line-item taxes, custom fields, attachments.

Recurring billing

Auto-generate & auto-charge subscription invoices on weekly/monthly/annual cadences.

Online payments

Stripe, PayPal, Authorize.Net, ACH, and 10+ more gateways — one click on the invoice.

Estimates & quotes

Send branded estimates, accept signatures online, convert to invoice with one click.

Customer portal

Self-serve portal where clients see invoices, pay, download statements, raise disputes.

Auto-reminders

Nudge clients automatically when invoices age past 7/14/30 days. Stop chasing manually.

Bills & vendor management

Track bills due, vendor credits, recurring vendor charges. Approval workflows on top.

Expense tracking

Snap receipts on mobile, categorize expenses, mark billable, push to project invoices.

Purchase orders

Create POs, send to vendors, track receipt, auto-generate matching bills.

Vendor portal

Vendors submit bills directly, check payment status, update banking info themselves.

Approval workflows

Multi-step approvals for bills over thresholds. Audit trail of who approved what.

1099 & vendor tax

Track 1099 vendors and generate forms at year-end. Built-in for US compliance.

Bank feeds

Direct connection to 10,000+ banks. Transactions flow nightly, auto-categorized.

Auto-reconciliation

Rules engine matches imported transactions to invoices/bills. Manual recon = exception cases only.

Multi-currency

Bill in EUR, get paid in USD, run base books in MXN. Live FX rates and gain/loss tracking.

Cash flow forecasts

Project 30/60/90-day cash position from open invoices, bills, and recurring activity.

Manual journal entries

For accountants who want full GAAP/IFRS control: post adjustments, accruals, deferrals.

Custom rules engine

If transaction matches X → auto-categorize to Y. Trains itself over time.

P&L, Balance Sheet, Cash Flow

Real-time GAAP-style reports with drilldown to source transactions. Export as PDF/XLSX.

A/R aging & A/P aging

See exactly who owes you what (and how late) at a glance. Same for what you owe vendors.

Sales tax & VAT

Multi-jurisdiction sales tax tracking. Quarterly summaries ready for filing.

CFDI 4.0 (Mexico)

Native SAT compliance via Zoho Books MX, plus our custom Deluge timbrado pipeline (LionDev).

Multi-org consolidation

Run multiple legal entities in one Books account. Consolidated reporting across orgs.

Audit trail

Every record change logged with who, when, and what. Your accountant’s favorite feature.

How we deploy it

Books out of the box won’t match your chart of accounts.

Migrating to a new accounting system is the hardest software switch you’ll make. Our four-step engagement keeps the books reconciled, the historicals intact, and your CPA happy.

Audit & map

Review your current chart of accounts, sales tax setup, recurring transactions. Map to Zoho Books with no data loss.

Migrate historicals

Customers, vendors, items, open A/R, open A/P, opening balances, and (where useful) historical transactions.

Configure & integrate

Bank feeds, payment gateways, recurring invoices, custom workflows, CRM integration, and (for MX) CFDI timbrado.

Train & close month one

Train your team and your CPA, run month-end close together, validate against your old system, then go live clean.

Pricing

Three plans. Per organization, not per user.

  • Factura global & InformacionGlobal nodes

Common questions

What people ask before they switch.

Is Zoho Books the same as QuickBooks?
Functionally similar — both are double-entry, cloud-based, with bank feeds, invoicing, and reports. Practically: Zoho Books is roughly 1/3 the price at comparable feature levels and integrates natively with the rest of the Zoho suite. QuickBooks has a deeper US accountant network; Zoho Books has stronger international features (multi-currency, multi-org, CFDI for Mexico).
Can we migrate from QuickBooks?
Yes. Customers, vendors, items, chart of accounts, and opening balances migrate via Zoho’s native import or our scripted ETL. Historical transactions are optional — most clients migrate balances only and keep QB as read-only archive for prior years. Plan on 2–6 weeks depending on chart-of-accounts complexity.
Is Zoho Books really good for small businesses?
Yes — it’s arguably the sweet spot. Solo founders and freelancers run on Standard ($20/mo). Growing teams hit Professional or Premium. Where Zoho Books gets stretched: 50+ user organizations, complex inventory at scale, or industry-specific compliance beyond what we can extend with Deluge. We’ll be straight with you about fit on the discovery call.
Does Zoho Books support CFDI 4.0 / Mexican SAT compliance?
Yes — Zoho Books MX has CFDI features, and we layer on a custom Deluge timbrado pipeline (LionDev / micontador.mx) for clients that need it. We run this in production for multiple Mexican entities. Factura global, público en general, TipoFactor Exento — all handled correctly.
How does Zoho Books integrate with the rest of Zoho?
Natively. CRM deals push to Books as estimates & invoices, Books invoice payments update CRM revenue, Zoho One bundles everything under one login. We can also bridge to non-Zoho tools (Stripe, Make.com, n8n, MRPeasy) via API.
Is my data safe?
Zoho is SOC 2 Type II, ISO 27001, GDPR-ready, and HIPAA-compliant where applicable. Bank-level TLS in transit, AES-256 at rest, multi-factor auth, IP restrictions, and full audit logs. Data centers in US, EU, IN, AU, JP, CA — pick your residency.
Is there a free version?
Yes — Zoho Books Free supports businesses with revenue under $50k/year (US edition; thresholds vary by region). Useful for pre-revenue startups and side projects. Most growing businesses move to Standard within 12 months.
