What is Zoho Sign?

Zoho Sign is Zoho's electronic signature app. You upload a document, place the signature fields, and send it to the people who need to sign, in the order you choose. You get back a signed PDF sealed with a digital certificate, plus a certificate of completion that records who signed, when, and on which device. The people signing do not need a Zoho account.

Prepared by Creator Scripts, a Zoho partner that sets up Zoho Sign with Zoho CRM and Zoho Creator. This page works like a document in Zoho Sign: the flags fill in as you read, and you can sign it at the end.

Is Zoho Sign legit?

Yes. Zoho Sign is made by Zoho Corporation, the company behind Zoho CRM, Zoho Books and Zoho Mail, which has been building business software since 1996. A signature made in it holds up for four reasons.

The law recognizes it.
Zoho Sign follows the ESIGN Act in the US and eIDAS in the EU, plus PIPEDA in Canada, the Electronic Transactions Act in Australia and the IT Act 2000 in India. The Enterprise plan adds qualified electronic signatures (QES) for the EU.
Tampering shows.
Every completed document is sealed with a digital signature. Zoho Sign's root certificates are on Adobe's Approved Trust List, so Adobe Acrobat shows the signature as valid, and any change after signing breaks the seal.
There is a record.
Each document comes with a certificate of completion: every signer's email, IP address and device, and when the document was sent, viewed and signed.
It works in Mexico.
For documents that need it, Zoho Sign can add a NOM-151 conservation certificate issued by PSC World, a provider authorized by Mexico's Ministry of Economy. How NOM-151 works with Zoho Sign.

Not legal advice. In many places a few documents, such as some wills and property deeds, still need ink or a notary. Check those before you move them to any e-signature app.

How a document gets signed

  1. 01 · Upload

Start from a file or a template.

PDF, Word or an image, up to 25 MB per file. Templates keep the fields in place for documents you send often.

  2. 02 · Place fields

    Show people where to sign.

Signature, initials, date, name, text and checkboxes. From the Standard plan, Zoho Sign can find and add the fields for you.

  3. 03 · Set the order

    Decide who goes first.

Signers, approvers and people who only get a copy, one after another or all at once. Witness and in-person signing are there when you need them.

  4. 04 · They sign

From an email link, on any device.

No account, no app. They draw, type or upload a signature. For more assurance, ask for an access code or a code sent by text message.

  5. 05 · Sealed

    It comes back finished.

Everyone gets the signed PDF, sealed with a digital signature, and you get the certificate of completion. If it is connected, the copy files itself in your CRM.

Questions about Zoho Sign

What is Zoho Sign?

Zoho Sign is the electronic signature app from Zoho. You upload a document, place signature fields, send it to one or more people in a set order, and get back a signed PDF sealed with a digital certificate, plus a certificate of completion with the audit trail. Signers do not need a Zoho account.

Is Zoho Sign legit and safe to use?

Yes. It is made by Zoho Corporation, which has built business software since 1996. Completed documents are sealed with a digital signature whose root certificates are on Adobe's Approved Trust List, and each one comes with a certificate of completion listing signers, IP addresses, devices and times.

Are Zoho Sign signatures legally binding?

For most business documents, yes. Zoho Sign follows the ESIGN Act in the US, eIDAS in the EU, PIPEDA in Canada, the Electronic Transactions Act in Australia and the IT Act 2000 in India. In Mexico it can add a NOM-151 conservation certificate. A few documents, such as some wills and deeds, may still need ink or a notary where you are.

Do signers need a Zoho account?

No. Each signer gets an email with a private link and signs in the browser on a phone or a computer. Only the people in your company who send documents need a Zoho Sign user.

What is the difference between an electronic signature and a digital signature?

An electronic signature is any electronic sign of agreement, such as a drawn or typed name. A digital signature is a kind of electronic signature backed by a certificate and cryptography, which proves who signed and that the file has not changed since. Zoho Sign seals completed documents with a digital signature, so you get both.
