Video Chapter Express. The YouTube tool we built and run on Zoho.

Paste a YouTube link and get chapters, a description, title options and three thumbnail concepts, in English or Spanish. We designed it, built it on Zoho and run it ourselves: the website, the app, the billing and the leads. This is how it works and what running it has taught us.

Why we built a product instead of another tutorial

Four reasons, three from the people who publish videos and one of our own.

  1. 1

A long video without chapters is a wall

Viewers can’t see where their answer is, so they skim, guess and leave. Chapters split the progress bar into named parts, and Google can show them as key moments in search.

  2. 2

Writing them by hand is slow

YouTube only shows chapters when the first starts at 00:00, there are at least three, and each lasts ten seconds or more. Doing that by ear for every upload is the kind of work nobody gets to.

  3. 3

Titles and thumbnails are the same chore

Same video, same transcript, more guessing. If the words are already transcribed, the title options and the thumbnail ideas can come from them too.

  4. 4

We wanted the proof on our own stack

Clients ask whether Zoho can run a customer-facing product with sign-up, a portal, billing and lead capture. We wanted to answer with something we run ourselves, not a slide.

One video, start to finish, written as chapters

Every video is one record in Zoho Creator. Each step writes its result back to that record, so the portal always shows where a video is and what is ready to copy.

  1. 00:00

    Paste a link

A YouTube link from a signed-in account in the customer portal. Shorts are turned away with a clear message.

  2. 00:45

    Transcript

The video’s transcript is fetched and stored on the record. A video that is too long is marked as such instead of failing silently.

  3. 01:40

    Chapters and description

Timestamps in the format YouTube reads, plus a description written for viewers and search.

  4. 02:55

    Titles

Title options built from what is actually said in the video.

  5. 03:50

    Thumbnails

Three AI concepts in different styles, as a starting point.

  6. 04:50

    Into YouTube Studio

Chapters, description and the chosen title laid out to copy straight into Studio, with a link to the video’s edit page.

Written the way Video Chapter Express writes chapters: the first at 00:00, at least three, each longer than ten seconds. Every record carries a status (in progress, completed, too long or failed) as a text label, so nobody has to guess what happened to a video.

What we built, Zoho app by Zoho app

No custom server and no separate billing system. Each part is a Zoho product doing the job it was made for, wired together with Deluge.

  • Zoho Creator appForms and reports for YouTube links, transcripts, chapters, titles, thumbnails and user profiles. Every record carries its status, its owner and its language.
  • Customer portalSign-up and sign-in, a My Videos dashboard, a page per step and a profile with the language choice. Pages render on the server, so every state on screen is real data.
  • Deluge and AI stepsDeluge fetches the transcript, calls the AI steps for chapters, description, titles and thumbnail concepts, and writes each result back to the record.
  • Plans on Zoho CheckoutA free trial, then a monthly or yearly plan. When a trial ends, the plans open right from the dashboard, and access comes back once the payment is confirmed.
  • YouTube Studio handoffA panel on the results pages that lays out exactly what to paste in Studio, in the order Studio asks for it.
  • Website on Zoho LandingPagevideochapterexpress.com is one code snippet in two languages, with a live demo of a real result and a link straight into the portal.
  • Lead path to Zoho CRMBusinesses that sell with YouTube can book a consultation from the site. Those links carry their own campaign tags, so leads from the tool are identifiable in our CRM.

Why Creator

The product is records moving through steps, seen by the person who owns them. That is what Zoho Creator does well: forms, statuses, a portal with its own sign-up, and Deluge to call outside services.

Why LandingPage

The marketing site needed to change often and in two languages without touching the app. Zoho LandingPage keeps it separate, fast to edit, and pointed at one action: start with one video.

Five layers, all of them Zoho

The counts come straight from the production app. They are what the product has actually done, not a forecast.

  • 337YouTube videos processedLinks submitted and transcribed since August 2024
  • 256Chapter sets generatedEach with its description, ready to paste
  • 254Title sets generatedOptions built from the video’s own words
  • 77Accounts createdSince December 2023, with no paid acquisition

Read from the production Zoho Creator app on 2 November 2026. The counts include our own test runs.

  1. Website

Zoho LandingPage. English and Spanish from one snippet, a live demo and one call to action.

  2. Customer portal

Zoho Creator portal. Sign-up, My Videos, the step pages, profile and language.

  3. Engine

Deluge functions calling the transcript and AI steps, with a status on every record.

  4. Money and leads

Zoho Checkout for plans. Tagged consultation links into Zoho CRM for businesses.

  5. Data

Videos, transcripts, chapters, titles, thumbnails and profiles, in one Creator application.

We run what we sell. Here is what that taught us.

Running a product on Zoho for nearly three years shows you things a client project never does, because nobody else is holding the pager.

Building the tool was the easy part. YouTube itself now offers automatic chapters and title ideas, so the tool earns its place as a front door: a useful result first, then a real conversation with businesses that sell on YouTube. The lesson we now bring to every product idea
  • Design for the server

Creator pages render on the server and strip JavaScript. We stopped fighting that: states are real data at load, and copy-friendly text replaces copy buttons.

  • Portal users have a price

Creator sells customer-portal users in tiers, so a free tool with a login carries a licence cost as it grows. We plan for it on every client portal now.

  • AI has a cost per run

Every video costs a little to process, thumbnails most of all. A free trial with a clear plan after it keeps the tool generous and sustainable.

  • A dead button loses the sale

This year a “See plans” button pointed back at the page it was on. Now the plans open right where the trial ends. Small fixes like that only show up when you use your own product.

What this means for your business

The same pattern fits most service businesses that repeat one process for many customers.

  • Your process can be a product

If you deliver the same steps to every customer, those steps can live in Creator, with a portal where customers start the work and see its status.

  • One stack, one bill

Site, app, payments and CRM on Zoho means one vendor, one admin console and no glue code between systems that don’t know each other.

  • Built by people who operate

We build your app the way we run ours: statuses you can read, plans that work at the edge cases, and fixes from people who know the system inside out.

  • Start small, on purpose

Video Chapter Express started as a simple form: paste a transcript, get chapters by email. Yours can start with one step that saves an hour, then grow.

Built by us

Have a process that could be a product?

A portal, a status on every record, plans through Zoho Checkout and leads into Zoho CRM. We have built it for ourselves, and we can build it for you.
