Zoho Mail Domain Setup Checklist for Business Email

Your domain carries your business identity in every email, and how you set it up decides whether messages are trusted or flagged. This checklist walks through the Zoho Mail Admin Console steps, from buying a domain to renewal and transfer.

Buy or add your domain

With Zoho Mail, you can buy a new domain inside the Admin Console or add one you already own. The Zoho Toolkit includes a Domain Name Generator that suggests names across TLDs such as .com, .in and .info. You can manage several domains from one window.

For the bigger picture, see Zoho's pages on custom domain email and the domain setup guide.

Verify and configure the domain

Verification confirms that you own the domain. Email services stay inactive until it is complete. You have two routes.

  • TXT or CNAME record. Add the generated value as a TXT or CNAME record, then confirm in the Admin Console.
  • HTML file upload. Use this when you cannot access DNS.

Once verified, Domain Connect can configure your MX, SPF and DKIM records automatically at supported registrars such as GoDaddy. That reduces manual DNS errors.

Know what each domain record does

RecordWhat it does
MXDirects incoming mail delivery
MTA-STS and TLS-RPTEnforce encrypted server-to-server delivery and report encryption failures
SPF and DKIMAuthenticate outgoing mail
DMARCSets the action for failed checks: none, quarantine or reject
BIMIDisplays your brand logo beside emails in supported inboxes

If these terms are new, Zoho's glossary explains the SPF record, DKIM, spam email and DNS. Two Zoho posts go deeper: the importance of SPF and DKIM and email encryption with TLS.

Aliases, hosting status and catch-all

  • Domain aliasing. Routes mail from linked alternate domains to the main domain's inboxes.
  • Subdomain handling. Mail sent to a subdomain can be delivered to the matching address on the primary domain.
  • Hosting status. Shows whether each domain is active, pending or needs attention.
  • Catch-all address. Captures mail sent to addresses that do not exist on your domain, so admins can monitor and act on it instead of letting it bounce.

Renew and transfer without gaps

Choose automatic or manual renewal. If you move to another registrar, the Admin Console offers a guided transfer process. It is designed to avoid delivery gaps, and Zoho's post on business email deliverability explains why that matters.

Questions

How long does domain verification take?

It is usually quick, but DNS propagation can take a few minutes to 24 hours.

Do I need a separate Zoho Mail account for each domain?

No. You can manage all your domains under one Zoho Mail account.

How do I check my SPF and DKIM records?

You can verify them in the Admin Console. Recheck them after any DNS change.

Will email stop during a domain transfer?

The guided transfer is designed to avoid delivery gaps.

What is the difference between SPF, DKIM and DMARC?

SPF checks the sending server, DKIM checks message integrity and DMARC sets the policy for failures and reports back.
