Zoho Flow: connect your apps, and know what every run costs.

Zoho Flow is Zoho's integration platform. It connects 50+ Zoho apps with each other and with more than 1,000 other apps, and runs multi-step workflows with branches, waits and Deluge code, with no server to keep. It is free for 100 tasks a month. Standard starts at $25 a month billed yearly ($29 monthly) for 5,000 tasks, and Professional at $41 ($49) for 10,000. Prices are per organization, not per user.

Action 1 · The parts

Every flow has four parts. Two of them are free.

Zoho bills Flow in tasks. Knowing which parts count is most of what you need to pick a plan.

  1. Trigger

What starts the flow: a new form entry, a paid invoice, a webhook, a schedule, an email.

    Free
  2. Actions

What the flow does in each app: create a contact, post in Cliq, update a row, call an API.

    1 task each
  3. Logic

Decisions and variables are free. Send mail, Delay and custom functions in Deluge count as tasks.

  4. Data mapping

Which field goes where, from the trigger to each action. Get this right and the rest is easy.

What can start a flow

  • App events in Zoho and other apps
  • Webhook from any app that sends one
  • Schedule: daily, weekly, monthly
  • RSS feed items
  • URL checked on a timer
  • Incoming email
  • On-premise systems through an agent

Triggers that poll check every 15 minutes on Free and Standard, every 5 on Professional. A task only counts when the action succeeds; failed actions are not billed.

Decision · Where it fits

Four questions before you build a flow.

Flow is not always the answer. These are the questions we ask on every project.

  1. Do the two apps already have a built-in integration that does it?

Yes: turn that on.Zoho's own integrations, like CRM with Books or Forms with CRM, cost nothing extra and need no flow.

  2. Does it all happen inside one app?

Yes: keep it in that app.Use its workflow rules, or a Deluge function in Zoho CRM or Zoho Creator. A flow would add a moving part you do not need.

  3. Several apps, a few steps, a branch or a wait?

Yes: this is Flow's job.Every integration in one place, priced per organization, with Deluge when you need code. Best when most of the apps are Zoho.

  4. Very high volume, AI agents, or an app Flow does not connect?

Then compare. We also build on Make and n8n and will say so when one of them fits better. Our help center compares Zoho Flow and Zapier.

Rules from Zoho Flow's help: the trigger, Decision and Set variable are not tasks; every other action counts once when it succeeds; a fetch that has to create the record counts twice.

    Action 4 · Setup

What we set up, so flows keep running.

Most broken integrations we see were built quickly by one person and never written down. This is how we build them instead.

    1. A map of what connects today

Every integration you run, native, Zapier, Make or scripts, listed with what it does. Then we decide what moves to Flow and what stays put.

    2. Connections owned by the company

Shared organization connections, not one employee's login, so a password change does not stop the flow. We wrote up what happens when it does.

    3. Selective updates

Only changed fields sync, so two apps never update each other in a loop. Our selective updates guide is the method.

    4. Error branches and alerts

Failures go to a person, in Cliq or by email, with the record that failed. See how we monitor flows.

    5. Custom functions in Deluge

When a step needs code: cleaning data, scoring, calling an API. Written to return clean outputs, as in this post.

    6. A task budget

The right tier, and the steps rearranged so free logic does the filtering. Our free plan guide shows how far 100 tasks go.

    7. Your Zoho apps, connected

CRM, Books, Inventory, Forms, Cliq and Creator, plus the outside apps you depend on.

    8. Names, folders and a handoff

Flows named for what they do, sorted into folders, documented, and your team trained. Custom work when a flow is not enough.

    Action 5 · Questions

    Questions people ask first.

    What is Zoho Flow?

Zoho Flow is Zoho's integration and workflow automation platform. You build flows on a drag-and-drop canvas: a trigger in one app starts actions in others, with decisions, delays, variables and Deluge custom functions in between. It connects more than 50 Zoho apps and over 1,000 other apps, including on-premise systems.

How much does Zoho Flow cost?

Free covers 100 tasks a month and 5 flows. Standard starts at $25 a month billed yearly, or $29 monthly, for 5,000 tasks. Professional starts at $41 a month billed yearly, or $49 monthly, for 10,000 tasks. Both go up to 5 million tasks a month. Prices are per organization, plus taxes; in Mexico Zoho lists Standard from Mex$435 and Professional from Mex$735 a month billed yearly, plus IVA.

What counts as a task in Zoho Flow?

Each action that runs successfully is one task. The trigger, Decision and Set variable are not tasks; Send mail, Delay and custom functions are. A fetch that creates the record when it is missing counts two tasks. A flow with one trigger and two actions that runs 100 times uses 200 tasks.

    Is there a free plan?

Yes. Free includes 100 tasks a month, up to 5 flows, 30 days of history and logic such as Decision, Delay, Set variable and Send mail. Paid plans have a 15-day trial with every premium feature and no credit card.

What happens when I run out of tasks?

With overage turned on in Settings, Billing and Usage, your flows keep running past the limit and the extra tasks are billed at the end of the cycle. Tasks reset every month and unused tasks do not carry over, also on yearly plans, which are credited month by month.

What is the difference between Standard and Professional?

Standard gives unlimited flows, custom functions in Deluge, 60 days of history and 15-minute polling. Professional adds premium apps, on-premise integration, automatic rerun of failed runs, 5-minute polling and 90 days of history.

    Zoho Flow or Zapier?

Zoho Flow is priced per organization with unlimited members and goes deeper with Zoho apps, Deluge and on-premise systems. Zapier connects many more outside apps. If most of your apps are Zoho, Flow is usually the better fit; check that it supports the other apps you need first. Our help center has a longer comparison.

Is Zoho Flow included in Zoho One?

Yes, Zoho Flow is part of Zoho One. Zoho Creator Enterprise also includes integration tasks powered by Flow. If you already pay for either, check what is included before buying Flow separately.

Do I need Zoho Flow if my Zoho apps are already integrated?

Not always. Built-in integrations, workflow rules and Deluge functions inside one app cover a lot. Flow earns its place when a process crosses several apps, needs branches or waits, or touches apps outside Zoho, and when you want every integration visible in one place.

Is Creator Scripts a Zoho partner?

Yes. We are an authorized Zoho partner and have built on Zoho for more than ten years, for clients in the United States, Mexico and Latin America. We design, build and monitor Zoho Flow integrations, and we also build on Make and n8n when they fit better.
